Xyzios never acts on a member by itself. Everything it wants to send goes round the same loop, and each turn of it leaves a line on a ledger you can check.

Then one of three things
- ConfirmedThe payment collected or the member stayed. Credited, with the evidence.
- Expired · $0The window closed and the outcome did not happen.
- Rejected · never earnsYou said no. It earns nothing even if the outcome happens anyway.
Outcome windows: payment recovery 21 days, retention save 60 days, lead and intro 14 days. A draft nobody decides expires after 14 days.
Why it is built this way
A draft costs nothing and a wrong email to a member costs a lot, so the drafts are cheap and plentiful and the send is always a person’s. That is also why the proof number can be trusted: an entry earns only when the outcome shows up in your booking platform, checked each night, and the ones that did not earn stay on the list at $0 beside the ones that did.
Where you meet it
- Approvals is the middle of the loop: every draft waits there. See Approvals.

- Settings → Features decides which drafts your AI team writes at all. See Turn on your AI team’s drafts.
Three things that surprise people
- Approving starts the clock; proposing does not. A draft nobody decides for 14 days expires and earns nothing.
- Rejecting a draft is useful work. The reason you tap is how the agents learn what to retarget, reword or re-time.
- A save you make in person counts as handled: mark it Handled on At Risk and the waiting draft for that member is withdrawn, so nobody hears from the studio twice.
